1. Introduction

IFFCO Kisan Finance Limited (“the Company/IKFL”) is operating as a Non-Banking Financial Company - Investment and Credit Company (NBFC - ICC) classified under the Middle Layer as per the RBI (Non-Banking Financial Company– Scale Based Regulation) Directions, 2023 (as amended) (“Scale Based Regulations/SBR”). As mandated by the Scale Based Regulations, Digital Personal Data Protection Act, 2023 (“DPDP Act”) and the Information Technology Act, 2000 (“IT Act”) and other applicable law, if any, the Board of Directors of the Company is required to formulate and adopt a Privacy Policy. In compliance with this requirement, the Board has approved and adopted this Privacy Policy (“Policy”).

As an NBFC, IKFL is entrusted with sensitive personal and financial information of its customers, employees, and business partners. Protecting such information is essential to maintaining trust, ensuring regulatory compliance, and safeguarding stakeholder interests. This Policy sets out the principles and practices adopted by the Company for the lawful, fair, and transparent collection, usage, storage, disclosure, and protection of personal data. It aims to ensure that all information is handled responsibly and in accordance with applicable laws, including the directions and guidelines issued by the RBI and other relevant authorities

This Policy shall become effective upon its approval by the Board.

2. Objective of the Policy

The primary objective of this Privacy Policy is to establish trust and confidence among customers, employees, and business partners by assuring them that their personal information is handled with the highest standards of care, confidentiality and respect. IKFL is committed to complying with all applicable RBI regulations and directives relating to data protection, ensuring that the collection, storage, processing, sharing, and retention of personal data strictly align with regulatory expectations and support the integrity of the financial system. To further reinforce data protection, the Company adopts robust security measures, including advanced technology tools, stringent access controls, and comprehensive safeguards designed to protect the confidentiality, integrity 4 and availability of personal information and to prevent unauthorized access, misuse, and data breaches.

This Policy also aims to enhance the overall experience by demonstrating transparency in data handling practices and ensuring that personal information is used solely for legitimate and clearly defined purposes, thereby fostering a positive and long-term relationship based on trust, accountability, and respect for privacy rights. By clearly communicating how data is collected, used, shared, and protected, the Company enables to make informed decisions regarding the personal information and exercise meaningful control over the privacy preferences, strengthening transparency and accountability in all data-related interactions.

3. Definitions

a.“Personal Data/Personal Information” refers to any data about an individual who is identifiable by or in relation to such data, either directly or indirectly. Personal Data includes information that can be used to distinguish or trace the identity of a customer, employee, vendor, co-applicant, nominee, guarantor. Such data may include, but is not limited to, general personal details (such as name, date of birth, age, gender, marital status, nationality, addresses, phone numbers, email IDs), government-issued identifiers (such as PAN, Aadhaar, Voter ID), internal customer or employee identifiers, financial and credit information (such as bank statements, loan account numbers, credit bureau reports, income documents, credit scores, and repayment history), demographic and family information (such as occupation, co-applicant or nominee details), photographs, CCTV records, and any other information that can identify the individual or establish a link to the individual in the context of the Company’s operations.

b.“Digital Personal Data” means Personal Data collected, stored, processed, exchanged, or otherwise made available in a digital form, regardless of whether it was originally collected digitally or converted from physical records. Digital Personal Data includes all categories of Personal Data when maintained or processed through digital platforms, applications, databases, loan origination systems, mobile devices, customer service portals, website forms, cloud-based 5 infrastructure, field collection applications, or any electronic or networked environment used by the Company. This includes device metadata and IP addresses generated through digital interactions, background location data captured through field applications for operational safety, digital KYC records, scanned documents, and any digital inputs that can identify an individual either independently or in combination with other data

c.“Data Principal” refers to the individual to whom the Personal Data relates. In the case of a minor, the term includes the parent or lawful guardian responsible for providing consent or exercising rights.

d.“Data Fiduciary” means the entity that determines the purpose and means of processing Personal Data. For the purposes of this Policy, IKFL acts as the Data Fiduciary when collecting and processing Personal Data as part of its business operations.

e.“Processing” includes any operation performed on or with Personal Data, whether automated or manual, such as collection, recording, organization, structuring, storage, alteration, retrieval, consultation, sharing, usage, transmission, dissemination, restriction, erasure, or destruction.

f.“Data Protection Officer” means an individual appointed by the Company under clause (a) of sub-section (2) of Section 10 of the DPDP Act.

Any term or definition not expressly provided under this Policy shall have the meaning assigned to it under the DPDP Act, IT Act, Rules of the DPDP Act and IT Act and the applicable provisions of the RBI Scale-Based Regulatory Framework and related guidelines, as amended from time to time. In the event of any inconsistency in interpretation, the definitions and requirements prescribed under the DPDP Act and RBI regulations shall prevail to ensure regulatory alignment and compliance.

4. Personal Information Collection

The Company collects Personal Information about the Data Principal from multiple sources in order to provide and enhance our products and services. Such information may be obtained through:

a. Online and electronic interactions, including through IKFL’s digital platforms, mobile applications, SMS services, email communications.

b. Offline interactions, such as through direct marketing initiatives, physical application or registration forms, customer service interactions, loan application and onboarding processes, surveys, and engagements with IKFL representatives or service touchpoints

c. The Data Principal engagement with targeted or personalized online content, including advertisements and promotional material.

d. Third-party sources, such as analytics and technology service providers, credit information companies, payment and delivery service partners, advertising networks, customer verification agencies, and to the extent permitted under applicable law.

5. Consent

The Company shall obtain the Data Principal’s consent in writing (including electronic consent) before collecting Personal Information for the purpose of providing its products, services, and related facilities. For the purposes of this Policy, Personal Information means any data that identifies or relates to a Data Principal, and includes, but is not limited to, the categories listed under the definition of Personal Information and Digital Personal Data provided in this Policy.

All Personal Information shared or collected will be provided on an ‘as is’ basis, and IKFL shall not be responsible for the accuracy or completeness of such information as submitted by the Data Principal. Personal Information collected from or provided by the Data Principal shall be used solely for purposes connected to the specific Terms of Use 7 agreed to by the Data Principal, including for the provision of products, services, facilities, or any ancillary or support services offered by IKFL, its Facility Providers, or authorized Third-Party Service Entities.

For the purposes of this Policy, Services include all activities, facilities, engagements, and interactions undertaken in connection with the offering, processing, maintenance, and servicing of IKFL’s products and services.

The Data Principal may choose to opt out of providing Personal Information; however, if the Data Principal choose to withdraw or withhold consent required under this Policy, the Data Principal may not be able to access or continue to use the Services in accordance with the applicable Terms of Use. The Data Principal may withdraw consent at any time, or raise any privacy-related concern, by writing to us at our Corporate Office: IFFCO Kisan Finance Limited, 3rd Floor, IFFCO Tower-1, Plot No. 3, Sector-29, Gurugram-122001, Haryana; or via email at [email protected].

Upon receipt of such withdrawal or request, IKFL will process the same and terminate the Services in accordance with the Terms of Use governing the relevant product or service availed by the Data Principal.

6. Purpose

IKFL requires certain Personal Information to operate effectively and to provide, manage, and improve its products, services, and related facilities. IKFL shall use, process, transmit, and disclose the Data Principal’s Personal Information solely for legitimate business purposes, and in accordance with applicable laws, as follows:

a. To fulfil the Data Principal requests for products, services, and facilities availed, and to contact the Data Principal either directly or through IKFL’s authorized thirdparty service providers through any communication channel including, but not limited to, email, telephone, SMS, WhatsApp, in-app notifications, or postal communication.

b. To deliver administrative notices, alerts, operational communications, and servicerelated messages relevant to the Data Principal relationship with IKFL and use of its Services.

c. To IKFL’s group entities, affiliates, authorized representatives, and third-party service providers for joint marketing initiatives, authentication and verification purposes, and for offering value-added services, products, or advisory support relevant to the Data Principal existing or potential relationship with IKFL.

d. To third-party vendors, contractors, and service partners engaged by IKFL for provision of services or operational support, who remain bound by confidentiality and privacy obligations consistent with this Policy.

e. For market research, service analytics, operational optimization, product enhancement, troubleshooting issues, detecting and preventing fraud or misuse, and identifying or reporting criminal or prohibited activity.

f. To assess the Data Principal’s creditworthiness, conduct background verifications, or perform enquiries with credit information companies or authorized verification agencies, either directly or through appointed service partners.

g. To regulatory, statutory, supervisory, enforcement, or judicial authorities, credit information companies, law enforcement agencies, or other governmental bodies when such disclosure is required to comply with legal or regulatory obligations.

h. To enforce applicable Terms of Use, contractual rights, and obligations; and

i. To analyse device signals, usage patterns, and interaction insights in an anonymized and non-identifiable manner to enhance customer engagement, product relevance, and marketing effectiveness.

All Personal Information collected shall be retained for as long as the Data Principal continue to maintain an account, product, or active relationship with IKFL or its 9 authorized service partners, or as required under applicable laws, regulatory directions, or internal data-retention policy. Upon termination or deactivation of the Data Principal’s account or services with IKFL, the Data Principal’s Personal Information shall no longer be used to provide services and will be retained only for the prescribed retention period under law or policy, following which it shall be deleted, anonymized, or archived as permitted. Until permanently purged, certain Personal Information may remain stored in system back-ups or archival environments; however, such information, if retained, shall be used strictly in an anonymized, non-identifiable manner for analytical, statistical, audit, or legal purposes.

7. Update and Accuracy of Personal Information

IKFL encourages the Data Principal to promptly update Personal Information whenever there is any change to ensure that the information maintained is accurate, complete, and up to date. The Data Principal are entitled to review the Personal Information submitted to IKFL and request correction, amendment, or deletion of any data that is inaccurate, incomplete, or no longer required for the purposes for which it was collected, subject to applicable laws and operational feasibility.

While IKFL will make reasonable efforts to incorporate such updates or corrections, the responsibility for the authenticity, accuracy, and completeness of the Personal Information provided shall rest solely with the Data Principal.

8. Sharing and Transfer of Personal Information

IKFL does not sell, trade, or otherwise transfer the Personal Information to unaffiliated third parties, unless such disclosure is communicated to the Data Principal at the time of data collection or carried out with the Data Principal’s consent, as applicable under law. However, to deliver products, services, and related facilities opted or subscribed by the Data Principal, IKFL may share or disclose such Personal Information with its group entities, affiliates, authorized service partners, agents, and third-party service providers, strictly for purposes permitted under this Privacy Policy and in line with regulatory and contractual obligations binding on IKFL.

IKFL, along with its authorized Third Party Service Entities, treats such Personal Information and usage of the Services as confidential. Personal Information shall not be accessed, reviewed, or disclosed to any external party unless such disclosure is:

a. expressly authorized by the Data Principal.

b. required to deliver services or carry out legitimate operational functions.

c. necessary to comply with applicable laws, regulatory requirements, or directions of statutory authorities.

d. undertaken in good faith to protect the rights, interests, or safety of IKFL, its customers, or the public; or

e. essential for the enforcement of contractual terms, including the Terms of Use.

Where permitted and required, IKFL or its authorized service partners may transfer such Personal Information to another entity located within or outside India, only when such entity is capable of providing a data protection standard equivalent to or higher than that followed by IKFL, and where such transfer is necessary for performance of a lawful contract with the Data Principal or are based on the Data Principal’s explicit consent and in compliance with the DPDP Act. Any such transfer shall be carried out in accordance with applicable laws, including data localization or cross-border transfer restrictions, wherever applicable.

9. Links to Other Sites

Our website(s) has links to other website(s) in the World Wide Web. The privacy policies of these website(s) is not under our control. Once the Data Principal leaves our website or servers, any information provided shall be governed by the privacy policy of the operator of the website being visited. The Data Principal is advised to review the privacy policies of such external websites for further information.

10. Children Data

This website is not intended for use by children and minors as defined under the law. Parents and legal guardians are requested to ensure that Personal Information is not provided by minors.

11. Cookies

IKFL may deploy and use cookies and similar tracking technologies to enhance the Data Principal’s experience and analyse interaction with its digital platforms, including the Company’s website and mobile applications (“Platforms”). Cookies are small, encrypted text files stored on the Data Principal’s device, enabling the Platform to recognize the Data Principal device on subsequent visits and retain certain preferences or usage patterns. By accessing or using the Platforms, the Data Principal acknowledge and consent to the use of cookies by IKFL in accordance with applicable laws and for purposes such as improving functionality, personalizing content, and supporting security features. For detailed information on the types of cookies used, their purpose, and options available to manage or disable cookies, the Data Principal may refer to the Cookies Policy available on the Company’s website.

12. Security of Data

To protect Personal Information from unauthorized access or disclosure, loss or misuse, the Company have adopted reasonable security practices and procedures. The transmission of information is not completely secure for reasons beyond our control. The Company adopt industry standard security measures and keep updating our systems from time to time to protect Personal Information against any hacking or virus dissemination. The Data Principal are responsible for ensuring the protection of login and password records for the Data Principal’s account. IKFL is not responsible for any breach of security occurring on a Third Party platform that the Data Principal may decide to transact with.

13. Data Protection Officer

As per the DPDP Act, IKFL shall appoint a Data Protection Officer (“DPO”), who will be appointed by the Management. For this purpose, Management shall comprise the Managing Director (“MD”), Chief Executive Officer (“CEO”) and Chief Financial Officer (“CFO”), wherein the CEO and CFO shall jointly recommend the candidate for appointment as DPO, and the MD shall provide the final approval for such appointment.

The DPO shall be responsible for overseeing IKFL’s compliance with the provisions of the DPDP Act, including facilitating and monitoring the implementation of data protection practices, enabling effective handling of Data Principal rights, managing and responding to grievances relating to the processing of personal data, and coordinating with the Data Protection Board of India as and when required. The DPO shall also serve as the primary point of contact for customers in matters relating to access, correction, deletion, or withdrawal of consent concerning their personal data.

Upon appointment, the name, designation, and contact details of the DPO shall be published and maintained under the Privacy Policy section of the Company’s website to ensure transparency and accessibility for all Data Principals.

14. Grievance Officer

The Nodal Officer of the Company will also act as a Grievance Redressal Officer for the purpose of this Policy. The designated officer shall ensure that genuine grievances of the Customers are forwarded to concerned department and redressed promptly without any delay.

The Grievance redressal procedure of the Company and the time frame fixed for responding to the complaints will be governed by Grievance Redressal Policy adopted by the Company, which is placed on the Company’s website.

15. Amendments to this Policy

a. IKFL reserves the right to modify, update, or amend this Privacy Policy from time to time to reflect changes in regulatory requirements, business practices, or technological advancements. Any revisions to this Policy will be published on the Company’s website, and such updates shall take effect from the date of their publication. The Data Principal are encouraged to periodically review the Privacy Policy on our website to stay informed of any changes or updates.

b. Regulatory changes: The Managing Director will have the authority to approve changes in this Policy on account of regulatory developments, based on 13 recommendation from Chief Executive Officer, Chief Financial Officer and Chief Compliance Officer. Such changes to the Policy shall be subsequently placed before the Board of Directors for information in the next meeting, or earlier by circulation if deemed appropriate.

c. Other changes: Any changes other than Regulatory changes shall be carried out with the approval of the Board of Directors of the Company.

d. The Board shall review this policy annually, upon the recommendation of the Audit Committee

d) Attendance Management: Enables users to mark and track attendance, including time, location, and shiftbased records.

e) Task Assignment: Allows creation, assignment, tracking, and completion of tasks across individuals or teams.

f) Job Management: Facilitates allocation, monitoring, and execution of jobs or work orders.

g) Lead and Deal Management: Assists in capturing, managing, and tracking leads, opportunities, and deal progress.

h) Channel Management: Enables collaboration and communication through structured channels within the application.

i) Document Management: Allows uploading, accessing, sharing, and managing documents securely.

j) Reports and Analytics: Provides access to performance, activity, and operational reports for monitoring and analysis.

k) Connect: Enables communication and coordination between users, teams, and stakeholders.

l) Customer Onboarding: Supports digital onboarding processes for new customers, including data capture and verification.

m) Visit Management: Enables logging, tracking, and reporting of field visits, including time and location details.

5. User Obligations

You agree not to:

a) Provide false, misleading, or fraudulent information

d) Copy, modify, or reverse engineer any part of the App

e) Disrupt or interfere with App functionality or security

Any violation may result in suspension or termination of access.

6. Privacy & Data Protection

Employees using the K-Pro 2.0 application acknowledge that they may access, collect, enter, process, and manage customer and business-related data solely for authorized company purposes. All such data shall be treated as strictly confidential and handled in accordance with the Company’s privacy policy, applicable laws, and contractual obligations. Employees are required to ensure the accuracy, integrity, and security of the data at all times and must not disclose, misuse, copy, transfer, or access customer information except as necessary for the performance of their official duties.

Any unauthorized access, use, disclosure, or breach of customer or company data may result in disciplinary action, including termination of employment, and may attract legal consequences under applicable data protection and confidentiality laws.

8. Third-Party Services

12. Force Majeure

The Company shall not be liable for delays or failures caused by events beyond reasonable control, including natural disasters, system outages, or government actions.

13. Governing Law & Jurisdiction

These Terms shall be governed by the laws of India.

Courts at Gurugram and Delhi NCR shall have exclusive jurisdiction.

14. Amendments
